Job Title: Executive Assistant to Founder (Business & Private)

Location: Mayfair, London

Working Pattern: Monday–Friday, with flexibility to work out of hours as required

Reporting Line: Chief of Staff

Overview

We are seeking a highly capable and discreet Executive Assistant to support the dynamic Founder of a hedge fund, working across both business and private affairs. This is a unique, fast-paced role within a family office environment, offering significant exposure to senior stakeholders and the opportunity to play a pivotal role in the smooth running of both professional and personal commitments.

The successful candidate will take full ownership of a complex and ever-changing diary, ensuring seamless coordination across business, family office, and private obligations. You will be trusted with sensitive information and expected to operate with exceptional judgement, attention to detail, and composure under pressure.

Key Responsibilities Business Support
  • End-to-end management of the Founder’s business diary, including scheduling meetings, calls, investor engagements, and travel.
  • Proactive coordination with internal teams, external counter parties, and senior stakeholders to ensure priorities are aligned.
  • Preparation of briefing materials, agendas, and relevant documentation for meetings.
  • Managing logistics for domestic and international travel, including itineraries, visas, and accommodation.
  • Acting as a gatekeeper, filtering and prioritising requests to protect the Founder’s time.
Private & Family Office Support
  • Management of the Founder’s personal diary, including family commitments, medical appointments, and social engagements.
  • Handling personal administration and ad hoc private duties with discretion and efficiency.
  • Liaising with household staff, advisors, and service providers.
  • Supporting the wider family office with coordination and administrative tasks as required.
General & Ad Hoc
  • Supporting the Chief of Staff with projects and operational tasks.
  • Ensuring absolute confidentiality at all times.
  • Troubleshooting scheduling conflicts and last-minute changes calmly and effectively.
  • Anticipating needs and proactively solving problems before they arise.
Key Requirements
  • Graduate calibre.
  • Proven experience as an Executive Assistant, Personal Assistant, or in a similarly demanding role.
  • Exceptional attention to detail with strong organisational and time-management skills.
  • Ability to work at pace in a high-pressure, fast-moving environment.
  • High level of discretion, integrity, and professionalism.
  • Strong written and verbal communication skills.
  • Confident working with senior stakeholders and managing complex diaries.
  • Flexible and willing to be available out of hours when required.
  • Proactive, solutions-focused, and resilient.
