Insight Investment is looking for a Facilities Assistant to join the Facilities team in London. The Facilities Assistant plays a key role in supporting the smooth and efficient operation of the workplace environment. Reporting into the Head of Office Management, this position is responsible for the day-to-day facilities coordination, including office maintenance, vendor liaison, stock management, and general administrative support. The role requires strong organisational skills, a proactive approach, and the ability to collaborate effectively with internal teams and external stakeholders to ensure a safe, well- maintained and productive workspace.
RoleResponsibilities
- Coordinate and oversee external contractors to deliver high quality, compliant work on time
- Support offices globally, partnering with local facilities teams to ensure consistent operations and standards
- Manage procurement and inventory of office supplies and stationery, optimising stock levels and cost
- Log, track, and resolve maintenance issues in collaboration with engineers and contractors, ensuring timely closure
- Play an active role in new joiner inductions, including building tours and helping new starters settle in
- Carry out ad hoc tasks to support broader Office Management activities, including Client Meeting Suite operations
- Assist with planning and executing internal events to a professional standard
- Perform regular office inspections to proactively identify and address issues, maintaining a high quality workplace environment
- Work closely with the BNY facilities team to ensure issues in their remit are proactively managed and swiftly resolved
- Coordinate internal staff relocations and support real estate projects, ensuring minimal disruption to business operations
- Strong interest in facilities, building operations or workplace support
- Comfortable using systems, intranet platforms and Microsoft Office Suite
- A positive, can-do attitude and willingness to take on practical tasks
- Good communication skills and ability to work well with colleagues, contractors and visitors
- Experience of working independently and as part of a team
