As a Purchasing Coordinator,you’llplay a key role in supporting the smooth and efficient ordering, onboarding, and management of vehicles within our Splendfleet. This is a fast‑paced, detail‑driven position whereyou’llwork closely with suppliers, dealerships, and internal teams to ensure every order isaccurateand delivered on time.
You’llmaintainsystems, track progress, resolve issues proactively, and keep our operations running seamlessly. With a genuine interest in the automotive or fleet sector,you’llhelp drive the reliability and growth of our fleet operations.
Responsibilites- Assist with vehicle orders through approved dealerships and suppliers, ensuring specifications and requirements are accuratelylogged.
- Maintain and update order trackers, delivery schedules, and vehicle databases whilemonitoringprogress and escalating delays or issues when needed.
- Liaise with dealerships and suppliers to obtain order updates, delivery confirmations, VINs, registrations, and all required documentation.
- Ensure all vehicle paperworksuch as order forms, invoices, and VIN detailsarereceived, checked, and filed correctly.
- Supporting registration, tax, insurance, and compliance processes.
- Keep fleet systems and CRMs up to date, produce basic reports on orders and lead times, and support invoice checking by raising any discrepancies for review.
- Work collaboratively withother departments to support the smooth onboarding of new vehicles into the fleet.
- Exceptional administrative and organisationalskillsgained through experience in administration, coordination, or customer service.
- Clear and confidentcommunicationwith strong written and verbal skills, and a collaborative,teamfocusedapproach.
- Comfortable using Excelandfleet management systems,with a strong willingness to learn new tools.
- Detaildriven,maintaining high accuracy when handling documentation, data, and daytoday tasks.
- Proactive, reliable, and able to prioritise effectively to meet deadlines in a fastpacedenvironment.
- Genuine interest in vehicles, fleet, or the automotive sector. Ideallypreviousexposure to procurement,logistics, or supply chain environments and a readiness to develop further.
