Location: Greater London

The CEO Office operates in a dynamic, fast-paced, and highly complex global environment. It is a close-knit team dedicated to ensuring the smooth running of the CEO’s day-to-day activities, with a strong emphasis on trust and teamwork.

What’s the role

The Deputy Assistant to the CEO reports to the Executive Assistant (EA) to the CEO and provides highly confidential administrative and secretarial support, primarily to the EA, the CEO’s Business Advisor, and, on occasion, directly to the CEO. The main focus is managing logistics such as events, travel, catering, hospitality and IT.

What to Expect
  • Handle high-value, complex global issues requiring prompt support with calendar management, travel arrangements and coordination with other leaders.
  • Be prepared for flexibility outside standard office hours to meet urgent demands.
  • Maintain the highest degree of confidentiality in all matters.
  • Participate in the pre‑employment screening process.
What you’ll be doing
  • Provide efficient, proactive administrative and secretarial support for highly confidential matters.
  • Work closely with the EA on challenging calendar management to optimise the CEO’s time.
  • Take full responsibility for diverse activities during the EA’s absence.
  • Arrange detailed and accurate logistics for upcoming travels, including flights, trains, passport renewals, visas, accommodation and car transport, in a cost‑effective manner.
  • Ensure timely submission of expense claims and Gifts & Hospitality (G&H) entries.
  • Support information management activities (Docu Sign, SharePoint, Diligent, record management).
  • Maintain a productive network of admin colleagues worldwide to support the CEO’s needs.
What you bring
  • Proven experience supporting executive-level leadership in a secretarial and administrative capacity.
  • Ability to work independently and as part of a team.
  • Excellent written and verbal communication skills with all levels of internal and external stakeholders.
  • Professionalism, organisation and a proactive, customer‑focused mindset.
  • Discretion and integrity when handling sensitive information.
  • Effective time‑management skills to work within tight, changing deadlines.
  • Persuasive and influencing skills in engaging with stakeholders.
  • Attention to detail and ability to maintain accurate records.
  • Experience in global, cross‑cultural environments and in managing multiple time zones.
  • Advanced computer literacy, including Diligent, SharePoint, Microsoft Office, Outlook, Teams, Concur and corporate travel systems.
