We’re now looking for a highly organised Office Administrator to join our friendly team and take ownership of dispatching and job scheduling. If you enjoy responsibility, variety, and being at the centre of operations, we’d love to hear from you.
The Role:
This role is ideal for someone experienced in coordinating engineers, handling client calls, managing day-to-day admin, and keeping operations running smoothly — someone proactive, calm under pressure, and confident dealing with both technical and non-technical queries.
Key Responsibilities:
* Schedule and dispatch engineers to jobs, ensuring efficient diary management
* Handle incoming calls and emails from clients and residents
* Follow up with clients and operatives, ensuring all job notes are accurate
* Track job progress and ensure jobs are completed on time
* Manage quotes, reports, and invoicing admin
* Order and return materials, keeping stock records up to date
* Support team members and senior staff with admin and reporting tasks
What We’re Looking For:
* Proven experience in dispatching, scheduling, or service coordination
* Excellent communication and interpersonal skills
* Strong attention to detail and ability to multitask
* Confident using Microsoft Outlook, Excel, and Word
* Calm, professional manner with a proactive attitude
* Team player with the initiative to manage tasks independently
Desirable:
* Experience in electrical, plumbing, or facilities environments
* Familiarity with systems such as Clik, SimPRO, or similar job management tools
* Previous experience dealing with subcontractors, invoices, or quotes
