Overview

As an Office Manager at Symphony

AI, you will be a key player in ensuring the smooth operation of our London and Dublin office environment, while also providing virtual support to other offices in the EMEA region. You will spend at least 4 working days in Dublin per month. You will oversee day‑to‑day administration, manage resources, coordinate meetings, support diverse teams, organise office operations and procedures, manage communication, maintain a pleasant work environment, handle office budgets, resolve administrative issues, and oversee onboarding for new employees.

  • Excellent time‑management skills and ability to multi‑task and prioritise work.
  • Strong attention to detail and problem‑solving skills.
  • A creative mind with an ability to suggest improvements.
  • Exceptional written and verbal communication skills to interact with all levels of the organisation.
  • Project‑management skills to oversee and coordinate multiple tasks and offices across the EMEA region.
Qualifications
  • Bachelor's degree in business administration, management, or a related field; or equivalent work experience.
  • Proven experience as an Office Manager, Front Office Manager, Administrative Assistant, or similar.
  • Knowledge of office management responsibilities, systems, and procedures.
  • Proficiency in MS Office (Excel, Word, Outlook); experience with office‑management software.
  • Demonstrated ability to manage budgets and financial operations.
  • Familiarity with email‑scheduling tools, like Email Scheduler and Calendar.
  • Availability to work out of the London office, visit the Dublin office at least 4 days per month, and support regional offices virtually in EMEA.
  • Project‑management experience is a plus.
