The Consumer & Market Intelligence and Experience & Transformation groups focus on data, software and consulting services to improve sales and marketing programmes.

This position is an exciting opportunity to join the Location Intelligence Group as an Operations Executive. You will support and carry out administrative tasks across the Location Intelligence Group for both the Sales & Delivery teams, and provide administrative support to the Operations Manager.

Key Responsibilities
  • Multi‑task across several requirements at any one time, whilst being able to push back & prioritise accordingly.
  • Respond immediately to requests from your internal stakeholders ensuring you communicate clear timescales, set expectations, and ask for clarification if unclear on the task.
  • Be organised and diligent, completing your work efficiently and to a high standard.
  • Be positive and proactive in supporting the teams.
  • Communicate tasks in progress clearly, explaining what can be achieved by when – as well as ensuring you highlight changes in deadlines.
  • Book internal and external meetings/training when required, arrange meeting rooms and provide any additional support. Ensure all emails and invitations issued clearly communicate agenda and timings.
  • General administration duties when in the office.
  • Administrative support around sales operations, such as processing all sales orders, sales forms, and royalty forms, and using Net Suite CRM. Ensure all contracts have been received, signed and saved. Request software keycodes when required.
  • Allocate and keep customer licence codes up to date.
  • Send monthly delivery confirmations.
  • Raise project codes and assign resources to them.
  • Prepare termination letters and update contracts when required.
  • Arrange and send data updates to customers.
  • Provide Net Suite support, ensuring records are kept up to date with customer & prospect records.
  • Run the weekly delivery report, check, and update it before sending it to the Delivery Teams.
  • Send customer data via a secure link, delivering the password to the customer on a separate platform.
  • Attend meetings with Delivery Teams regularly.
  • Support and manage the Purchase Order process, chasing outstanding payments if requested.
  • Ensure all customer correspondence is logged into Net Suite.
  • Prepare for monthly team meetings by drafting the skeleton deck and collecting Slides received.
  • Complete Supplier forms when required.
  • Support onboarding and training of new starters to the team, from pre‑joiner forms to setting up intro meetings.
Additional Responsibilities
  • Perform ad‑hoc tasks over and above those mentioned above, prioritising accordingly, dependent on source of requests.
  • Communicate progress of tasks and clarify any requests if unclear.
  • Take ownership of your workflow and time management to ensure all tasks are completed diligently and on time.
  • Provide process improvement ideas, if you see where a method can be improved.
  • Coordinate completion of Timesheets for everyone within the Location Intelligence Group, Property Consulting Group and Information Marketing Solutions Teams and deliver the monthly report to Finance by the 2nd working day of the next month.
  • Document all meetings detailing major points of discussion and action items, in a written contact report (internal) that is accessible by supporting teams.
