Data Science Institute Project Administrator

Salary: £36,513–£41,565 per annum (potential to progress to £44,468 per annum inclusive of London allowance). This is a fixed-term appointment for 2 years, with the possibility to extend subject to funding.

About the role

We are looking for a Project Administrator to support the administration of the Data Science Institute’s Global Forum on AI and the State of AI and Society Report. The role involves organising and supporting internal and external meetings, inviting speakers and participants, arranging travel and logistics, maintaining participant records, compiling and editing speaker bios, and assisting in the preparation and distribution of Forum documents.

Key

responsibilities
  • Organise and support internal and external meetings for the project team.
  • Assist with the invitation process for speakers and participants.
  • Make complex travel arrangements and coordinate participant logistics (flight itineraries, visas).
  • Maintain accurate records of participant logistics and briefing notes.
  • Compile and edit speaker and participant bios.
  • Assist in the preparation and distribution of Forum documents.
Qualifications and skills
  • Professional outlook with excellent communication and relationship‑building skills.
  • Exceptional customer service at all times.
  • Strong office and administrative skills, including solid IT skills (particularly Microsoft Office).
  • Experience of organising events.
  • Flexible ‘can‑do’ attitude and high attention to detail.
  • Ability to juggle competing demands.
