The Role
This role is suited to a highly motivated, results-driven Executive Assistant who will support Partners and team members within the London Office Leasing department. You will deliver proactive, efficient, and high-quality support, working collaboratively with the wider business support network to ensure the smooth running of a busy, fast-paced team.
Key Responsibilities Stakeholder Support- Provide executive assistance to Partners and team members, including proactive diary and email management, scheduling internal/external meetings, viewings, and calls, and preparing all necessary documentation.
- Coordinate Board meetings and team strategy away days, including preparing Board packs.
- Manage internal and external presentations, liaising with in-house creative and business development teams, external printers, and the post room.
- Prepare documents, including audio/copy typing letters, memos, minutes, schedules, mailshots, and extensive reports, ensuring accurate formatting, printing, and binding.
- Arrange UK and international travel, producing detailed itineraries and travel packs where required.
- Act as an ambassador for the London Office Leasing Head and broader team.
- Build and maintain strong collaborative relationships with clients, managers, and colleagues.
- Support team financial processes, including:
- WIP reconciliation and billed/unbilled debtor coordination
- Managing client invoicing to meet quarterly deadlines
- Monthly travel approvals, subscriptions, supplier invoice processing
- Expense claim coordination for Partners
- Referral administration
- Ensure effective and timely communication across the team and wider department.
- Attend team WIP meetings, take minutes, and follow up on actions.
- Support training administration, ensuring mandatory training is up to date and promoting development opportunities.
- Prepare correspondence and team documents including letters, memos, newsletters, and design materials.
- Manage team inboxes, prioritising and responding to enquiries where appropriate.
- Organise team meetings, corporate travel, conferences, and away days, preparing briefing packs.
