Overview
We are seeking a highly organised and detail‑oriented Document Controller to support our architectural project teams. The Document Controller will be responsible for managing, tracking, and maintaining all project‑related documentation to ensure accuracy, compliance, and timely distribution. This is a critical support role that maintains clear records and communication throughout the project lifecycle.
Key Responsibilities- Establish and maintain an organised document control system for architectural drawings, specifications, contracts, and other project‑related records.
- Ensure version control, proper naming conventions, and timely updates of all project documents.
- Distribute and track project documentation among internal teams, consultants, contractors, and clients.
- Support architects and project managers in ensuring all stakeholders have access to the latest approved information.
- Maintain records in line with company policies, ISO standards, and industry regulations.
- Ensure confidentiality and secure storage of sensitive documents.
- Track document status, submittals, and approvals to ensure deadlines are met.
- Generate regular reports on document progress, outstanding approvals, and revisions.
- Manage electronic document management systems (EDMS) and project collaboration platforms (e.g., Aconex, Procore, BIM 360, SharePoint).
- Train project team members in proper document handling and system usage.
- Minimum 2‑5 years’ experience in document control, preferably within architectural, engineering, or construction projects.
- Proficiency with EDMS and collaboration tools (e.g., Aconex, Procore, BIM 360, SharePoint).
- Strong organisational, multitasking, and time‑management skills.
- Excellent attention to detail and commitment to accuracy.
- Effective communication skills to coordinate across multiple stakeholders.
- Diploma or degree in Architecture, Engineering, Construction Management, or related field (preferred).
- Strong sense of accountability and reliability.
- Ability to work under pressure and meet deadlines.
- Analytical mindset with problem‑solving skills.
- Team‑oriented, with the ability to liaise across diverse disciplines.
