Are you a detail-oriented, organized professional with an interest in human resources and employee support programs? The County of Essex is seeking a Human Resources Assistant to provide administrative and program support across a range of HR functions, with a primary focus on the Attendance Support Policy (ASP). In this collaborative role, you will play a key support role in delivering consistent, confidential, and well-coordinated human resources services across the organization.

With a primary focus on the Attendance Support Policy (ASP), you will help ensure accurate tracking, reporting, and communication related to employee attendance while supporting HR Leaders, managers, and union partners. This role also provides broad administrative support to the Human Resources Department, contributing to collective bargaining preparation and other corporate HR initiatives that support a fair, transparent, and people-focused workplace.

What

You’ll Do

In this role, you will be responsible for:

  • Support Attendance Management Excellence
    • Extract and analyze quarterly attendance reports across all divisions covered by the Attendance Support Policy (ASP)
    • Differentiate between Supported and Accountable absences and identify trends or patterns requiring further review
    • Prepare manager-specific dashboards outlining:
      • Employees requiring attendance meetings
      • Current phase within the program
      • Historical movement between phases
    • Coordinating meeting logistics and room bookings
    • Taking notes or minutes during preparatory or formal sessions
    • Provide managers with standardized templates, scripts, and documentation to support consistent and compliant processes
    • Maintain accurate, confidential records related to attendance discussions, phase progression, and program exits
    • Track quarterly phase movement to support program integrity and transparency
    • Act as a liaison between HR, managers, and unions to ensure timely follow‑up and adherence to ASP protocols
    • Respond to general inquiries related to ASP, escalating complex matters to appropriate HR staff
  • Administrative & HR Support
    • Manage calendars, coordinate meetings, and prepare agendas, minutes, and action‑item trackers
    • Draft and support correspondence, file management, and data consolidation for HR initiatives and Council reporting
    • Assist with scheduling and coordination of departmental priorities during peak periods
    • Assist with filing, formatting job descriptions, preparing communication drafts, and other HR coordination tasks
    • Provide backfill administrative coverage during employee absences or high‑volume HR periods
    • Provide administrative support for collective bargaining, including:
      • Preparing negotiation binders and related documents
      • Coordinating meeting logistics and room bookings
      • Taking notes or minutes during preparatory or formal sessions

  • What You Bring:

    Education and Commitment to Growth:
    • Post‑secondary diploma or certificate in Human Resources, Business Administration, Office Administration, or a related field
    Experience and Expertise:
    • Minimum of one (1) year of related administrative experience
    • Experience in a unionized and/or public sector environment is preferred
