As Program Support, you will provide administrative support to the Property Services team managing sites across CMHA TVAMHS's service area. Your responsibilities will include updating housing candidate wait lists and ongoing record keeping, as well as assisting with day-to-day office tasks specific to the Property Services Team such as rent administration, maintenance coordination, vendor interactions and general administrative tasks.

What we’re offering:- What you’ll be making - Starting rate for this role is $25.30 per hour (Level 1 – Specialized Admin). Successful external applicants will start at Level 1, with grid progression based on seniority up to Level 8 ($32.64 per hour); for internal applicants, grid level placement will occur as per the Collective Agreement.
- When you’ll work - 70 hours biweekly;
Monday-Friday 8:30am-4:30pm - Your pension plan – Immediately eligible for optional enrolment in the Healthcare of Ontario Pension Plan (HOOPP)

- Update "movement list" through information received from candidates and their supports in collaboration with the Manager.
- Ensure information within all database programs used by Property Services is consistent and accurate.
- Update key system, including physical keys, swipe cards, and key codes within a database.
- Provide administrative support and assistance to the Manager Property Services, including developing and maintaining departmental correspondence, documentation requirements, procedures, forms, reports, meeting preparations, faxing, scanning, etc.
- Manage communication with community vendors.
- Input data and generate reports as requested through Manager Property Services and Director of Corporate Services.
- Ensure reports and inspections are completed and filed in a timely manner.
- Assist with contact for scheduling Help Desk work, and ensure proper notices are provided to occupants for completing Help Desk items.
- Assist Property Services staff, when necessary, by liaising with property providers/tenants/supports regarding tenancy concerns and maintenance issues.
- Respond to property-related issues (lost keys, damage, neighbours, etc.) and coordinate response.
- Support rent collection and provision of receipts.
- Support maintenance of accurate tenant records including tracking of move-ins and move-outs, issuance of occupancy/lease agreements and issuance of RTA forms.
- Other duties as assigned.
Police Vulnerable Sector Check Requirements Successful candidates must have a Police Vulnerable Sector Check completed in the last six months. Interested applicants who reside in the City of London and are in need of a Police Vulnerable Sector Check (PVSC) are encouraged to apply for one as soon as possible as PVSCs in the City of London are currently taking approximately 3 weeks to be processed and offers of employment cannot be made without receipt of a PVSC.
Werequire the following qualifications:
- Post-secondary education in office administration or equivalent work experience in property management administration.
- Experience with accounting, property management or property maintenance software (preferably YARDI and/or Halo).
- Current, satisfactory Police Vulnerable Sector Check (PVSC).
- Valid Driver’s Licence and occasional access to a vehicle with adequate insurance to carry out job duties.
- Demonstrated ability to attend work regularly.
- Experience with Purchase Order, Bidding, and Maintenance Practices.
