We install, service, and maintain draft beer systems, wine on tap, cocktails on tap, and coffee/water systems for the hospitality sector.
Position OverviewThe position of Office Administrator is part of the accounting department of the A Head for Profits (AHFP) ownership group. The Office Administrator is responsible for collecting payments due to the company and recording transactions related to accounts receivable. This position reports directly to the Accounts Receivable Director but has accountability to the Controller and other key executive personnel.
General Duties And Responsibilities- Invoicing multiple customers.
- Collections and following up with customers on past invoices.
- Assist with maintaining client databases and tracking accounts.
- Generate emails, spreadsheets, and forms.
- Database entry, record-keeping, and filing
- Maintaining customer accounts with current contact information and archivingcustomer documents to their accounts (evaluation forms, maintenance agreements, etc.).
- Ensure that customer-related issues are resolved in a manner consistent with the company's policies and objectives
- Participate in accounting department meetings as requested.
- Communicates financial information to the Department Head within the deadlines
- Exceptional customer service and communication skills, both written and verbal
- Professional telephone etiquette and interpersonal skills
- Excellent time management with the ability to prioritize and multitask effectively
- Detail-oriented with strong analytical and organizational abilities
- Proficient in Google Suite and Quick Books, with a demonstrated ability to learn new software and systems quickly
- Solid understanding of accounts payable and receivable processes
- Proficiency in general accounting software
- Proven ability to handle confidential information with discretion
- This is an in-office position reporting to our Lombard location (1001 N Lombard Rd, Lombard, IL 60148), with a typical schedule of Monday - Friday 8 am - 5 pm.
- High School Diploma or equivalent (required)
- Associate's degree in Accounting, Finance, or a similar field (preferred)
- One year's experience with Accounts Receivables and/or Accounts Payables (preferred)
- Proven experience as a bookkeeper, office assistant, or in another relevant administrative role.
