Overview
The Assistant Director of Event Management (Athletic Event Coordinator I) will report to the Director of Event Management. Among the key duties of this position are the following: oversee scheduling and coordination of Athletic facilities, event coordination and facility preparation, help with facility upkeep and projects as needed.
Responsibilities- Manages event set-up and ensures that athletic venues are in accordance with Conference and NCAA regulations for assigned sports.
- Ensures that proper safety and crowd control measures are in place for all athletic events.
- Coordinates game officials prior to each event assigned and follows conference policies on arrival, security, meals, and parking.
- Directs operations meetings to coordinate all aspects for internal and external entities for each athletic event.
- This position will also oversee student event staff and special groups used for events including table crew, replay technicians, field crew, official book, game clock, etc. Is responsible for hiring, training and scheduling these positions.
- Serves as a department liaison with various campus entities, i.e. facilities, police, telecommunications, fire, risk management, public safety
- Hire, train, schedule and supervise a student crew of approximately 8 hourly employees for game day event tasks and office hours
- Athletic Department maintenance and upkeep for all venues and fields in conjunction with the Director of Facilities and University Facilities Department
- Assist with scheduling the Stan Laub Indoor Training Center and the Wayne Estes Center along with soccer, softball, track, cross country and football fields for internal and external use
- Supervise the use of all facilities and develop and enforce building policies
- Coordinate all game day functions for facility prep for assigned sports
- Routine checks of all athletics facilities and assist the Director of Facilities in coordinating routine maintenance and repairs with Facilities
- Assist game management and operations as assigned, including set up and take down for 16 NCAA Division 1 sports
- Assist event operation for additional campus events (i.e. campus tours, Sagebrush Awards, scrimmages, family fun day, etc.)
- Manage document upkeep and creation (visiting team guide, rental policies, rental invoices, signage, spreadsheets, etc.)
- Other duties as assigned
Minimum Qualifications:
- Bachelor’s Degree
- Experience in athletic events
- Experience in spreadsheet programs and word-processing
- Must adhere to the University Travel and Driving policies; ability to drive locally and in the surrounding areas
- Must be able to work a non-traditional schedule and more than 40 hours per week
Preferred Qualifications:
- Division I athletic experience
- Familiarity with sports/athletics
- Experience with Utah State University Athletics
- Ability to work in a team environment with professionalism and resourcefulness, share workloads, appropriately prioritize tasks, and meet deadlines
- Ability to manage numerous, simultaneous events while maintaining meticulous attention to detail, organization, and accuracy
- Excellent interpersonal skills and ability to communicate effectively and efficiently
- Ability to understand and be sensitive to the needs of a diverse population
