Office Administrator/ Coordinator
Trova Advisory Group is partnering with a growing commercial roofing contractor to hire an experienced Office Administrator to support daily operations, financial administration, and project coordination.
Position SummaryThe Office Administrator serves as the central hub for accounting, administrative support, vendor coordination, and project documentation. This individual ensures smooth office operations, financial accuracy, and compliance across the organization.
Key Responsibilities- Process vendor invoices, customer invoices, office expenses, and bill payments
- Manage payroll processing, tax deposits, and quarterly filings
- Perform bank reconciliations and positive pay uploads
- Maintain accurate financial records in Quick Books
- Manage incoming/outgoing mail and correspondence
- Answer and professionally route phone calls
- Maintain organized digital and physical filing systems
- Scan, upload, and manage company documentation
- Obtain permit requirements and fee details from municipalities
- Prepare and submit permit applications and supporting documents
- Compile contract submittals, proposals, and invoice documentation
- Serve as first point of contact for field applicants
- Distribute and collect employment applications
- Assist with onboarding and new hire paperwork
- Coordinate small vendors including cleaning, landscaping, snow removal, and facility maintenance providers
- Full proficiency in Quick Books, Microsoft Word, Excel, and Adobe
- Strong organizational skills with high attention to detail
- Ability to manage multiple priorities independently
- Professional written and verbal communication skills
- Construction or commercial roofing experience preferred
- $45,000 – $75,000 annually, depending on experience and scope of responsibility
