We are seeking a highly polished, proactive Executive Assistant to support our CEO and Executive Leadership Team. This role is critical to the effectiveness of our leadership organization and requires exceptional judgment, organizational capability, and the ability to operate confidently in a fast-paced, evolving environment.
The Executive Assistant will serve as a trusted partner to senior leaders, managing complex schedules, travel, communications, and special projects, while also supporting cross-functional initiatives such as executive meetings, airshows, customer visits, and leadership events. This role has a hybrid work schedule, onsite up to three days a week in our Livonia, MI office.
So, what will you be doing as a Job Title?- Provide high-level administrative support to the CEO and Executive Leadership Team, including calendar management, scheduling, meeting logistics, and follow-up
- Coordinate complex domestic and international travel for executives, including itineraries, accommodations, and expense reconciliation
- Prepare executive-level materials such as presentations, agendas, briefing documents, reports, and correspondence
- Serve as a primary point of contact for executive interactions with internal teams, customers, and external partners
- Support leadership meetings, town halls, board-related activities, and executive offsites, including materials preparation and logistics
- Assist with planning and coordination of company events, customer visits, trade shows, and annual airshows
- Partner with Sales and Marketing to support social media postings, customer communications, and event preparation
- Manage office-related administrative needs for the executive team, including vendor coordination and contract support
- Handle confidential and sensitive information with discretion and professionalism
- Anticipate executive needs and proactively solve problems to keep the organization operating smoothly
- Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience)
- 5+ years of experience supporting senior executives in a fast-paced corporate environment
- Advanced proficiency in Microsoft Office, particularly Outlook, Excel, PowerPoint, and Word
- Demonstrated ability to manage multiple priorities, shifting deadlines, and complex logistics with accuracy
- Strong written and verbal communication skills, with a professional and executive-level presence
- High degree of discretion, judgment, and attention to detail
- Experience coordinating travel, events, meetings, and vendor relationships
- Comfort working cross-functionally and supporting multiple executives simultaneously
Experience in aerospace, manufacturing, or a regulated environment is a plus - Marketing, communications, or event planning experience (including trade shows or air shows) strongly preferred
