About the role

Join our People team at Matalan as a People System Advisor.

This role will be the main day to day contact for BAU queries relating to our People and Payroll system (iTrent) and have responsibility for all general maintenance to ensure data accuracy and system integrity.

In addition to this, the role will support in system optimisation and utilisation; continually developing, testing and implementing new functionality to enhance user experience.

This role requires someone who is well organised with an attention to detail and the ability to work autonomously.

Key Responsibilities
  • Query management:
    As system Subject Matter Expert you will create and maintain user guidance, act as first point of contact for queries and escalate issues to third parties, managing through to resolution.
  • Data & system maintenance:
    Monitor, audit and cleanse data to ensure ongoing quality and integrity, in line with GDPR compliance. Maintain system performance through regular cleansing activity. Keep up to date with releases/ patches and manage any system upgrade activity.
  • Security:
    Administer system security to ensure that access and permissions are granted based on role. Maintain confidentiality and security of organisational and sensitive personal data.
  • Process improvement:
    Support continuous improvement of all People processes, such as Starters, Annual Leave, Sickness absence, leavers by driving system usage, and reducing manual tasks through digitisation and system integration.
  • Development:
    Keep up to date with system developments and assess suitability for business. System configuration, rigorous testing and implementation of new functionality.
  • Stakeholder relationship management:
    Build strong relationships and collaborate with key stakeholders to understand their needs, identify challenges, opportunities and provide solution focussed outcomes. Key internal stakeholders include the People team, Payroll and IT. Key external stakeholders are system suppliers/ contractors.

    Ability to work collaboratively and engage with colleagues both within the People team and across the business.
  • Requirements Gathering and Specification:
    Confidence in gathering system requirements and developing detailed specifications in collaboration with stakeholders.
  • Problem‑Solving:
    Excellent analytical and problem‑solving skills to identify and address complex issues and follow through to a resolution.
  • Organisational skills:
    Well organised and methodological approach to managing workload and projects.
  • Proactivity and Motivation:
    Highly motivated, proactive, and able to work independently.
  • Communication

    Skills:

    Excellent verbal, written and presentation skills.
  • Educated to a degree level or with demonstrable relevant experience.
  • Previous experience in HRIS platforms is essential; knowledge of MHR iTrent advantageous.
  • Systems focused with general interest in HR Technology and automation and ability to learn new systems.
  • Strong understanding of employee lifecycle and HR data flows.
  • Confident in Microsoft Excel and full Microsoft Suite. (Or cloud based equivalents)
