Job Title: Exams Officer

Department: Business Support

Salary: £24,584 per year (pro rata)

Job Type: Full-time, Fixed Term

Working as part of the Business Support function in the Exams team, this role is an opportunity for a highly motivated, well‑organised candidate to join a fast‑paced Exams team.

The successful candidate will provide a student‑focused and quality administrative service, which is critical to support students in their achievement of qualifications. This role will provide accurate timely management information to support the College in its compliance with regulatory body requirements.

Responsible to: Exams Business Support Manager

Key Responsibilities
  • Ensure students are registered/entered for the correct qualification, within Awarding Body specified deadlines.
  • Validating the qualification against the course table and learning aims database.
  • Provide information relating to registration/entry/claim Awarding Body spend, to allow the college to maximise usage of examinations budget.
  • Ensure the accuracy and confidentiality of information held within the exams office and comply with General Data Protection protocols and relevant policies as appropriate.
  • Ensure that examinations/assessments are available and delivered in a professional and timely manner, including invigilation and accommodation, to support the various pillars and adhere to Awarding Body and Joint Council for Qualifications regulations.
  • Ensure the administration of examinations results, claims and achievement are proactively pursued with the various pillars and processed in a timely manner (including apprenticeships), to ensure the college can maximise achievement and demonstrate early success.
  • Ensure results and certificates are processed and available for students by set deadline (if appropriate e.g., GCSE) or in a timely manner, to assist student progression and future destination.
  • Ensure compliance with college security and cash‑handling procedures and standards.
  • Ensure compliance with financial regulations within their area of responsibility.
  • Act as key‑holder.
  • To contribute fully to the mission and values of the college Group ensuring its effective implementation in all aspects of college life.
  • To take a proactive approach to Health and Safety requirements at all times.
  • Be committed to the Safeguarding of children and young people.
  • To act as an ambassador for the College, promoting Equality Diversity and Inclusion.
  • To carry out such other relevant and appropriate duties within the framework of a post of this grade that may from time to time be required at a location determined by the needs of the service.
  • Participate fully in:
    • Staff Development and practice
    • In‑service training opportunities which are made available
    • Delivery of in‑service training to others in the area of specific responsibility
    • The Appraisal Scheme
Skills, Knowledge and Expertise

Essential Criteria
  • Experience of supervising similar administration/business support function
  • High level of numeracy and accuracy
  • Excellent ICT skills including proficient use of Microsoft Office 365, particularly Excel
  • Experience of working in a customer‑oriented environment
  • Excellent presentation and written communication skill
  • Good inter‑personal skills and the ability to deal with customers and stakeholders at all levels
  • Ability to show an understanding of, and commitment to College policies and procedures, particularly equality and diversity
  • Commitment to own professional development.
  • Ability to be resilient and flexible; able to respond quickly to changing priorities and manage own workload to meet deadlines without compromising on quality
  • A creative approach to problem solving
  • A desire to learn and develop new skills and challenge yourself
Desirable Criteria
  • Experience of working in an Exams function in an education setting
  • Detailed understanding of core college systems
