Job Overview

The Estates & Facilities "Business Services" department is looking to recruit an experienced administrator who is keen to work across Aintree, Royal and Broadgreen sites. Business Services cover administration, helpdesk, receptions, general office and switchboard.

This role will support a wider team in the processing of Purchase Orders, delivery notes and invoices. The team handles over 500 invoices per week and is part of a centralised Estates & Facilities team.

The postholder will use Outlook, Excel and specific trust systems daily. Communication will be verbal, written, via Teams, email and telephone. The postholder will work with a range of peers and managers to raise POs, receipt orders and process invoices for payment.

The postholder is expected to work across Aintree, Royal and Broadgreen sites.

Job Description And Main Responsibilities

Estates & Facilities cover catering, portering, domestics, maintenance, estates, medical engineering, security, waste, transport and much more.

We are based on all sites with a central administration office on the Aintree site. The successful postholder will be expected to travel to all 3 sites (inter‑site shuttle bus available).

  • Fast and accurate keyboard skills is essential as is the ability to use the telephone and keyboard at the same time.
  • Excellent written and verbal communication skills; attention to detail, good with numbers and able to use Excel and purchase order systems (training will be given).
  • Flexible and able to work in a busy, changing and demanding environment.
  • Work closely with suppliers, finance and accounts payable daily to agree processes, manage queries and find solutions.
  • Office based role, Monday to Friday.
Person Specification Qualifications
  • Essential: GCSE English Language & Maths or equivalent.
  • Essential: RSA 2 (or equivalent) Typing/WP ability.
  • Desirable:
    Ability to produce documents to a high standard.
Experience
  • Essential:
    Demonstrable previous administrative experience.
  • Desirable:
    Knowledge of NHS and/or Project Management environment advantageous.
  • Desirable: PRINCE
    2.
Knowledge
  • Essential:
    Thorough understanding of MS Office software packages, including Microsoft Outlook.
  • Essential:
    Excellent knowledge and understanding of MS Word and associated packages. Must possess fast accurate typing skills.
  • Desirable:
    Advanced Word, Excel, Powerpoint, Database Management, Project Office software, e.g. MS Project Standard.
  • Desirable:
    Knowledge of Estates & Facilities.
