Job SummaryAn exciting opportunity has arisen to be an integral part of a team of dedicated administrative staff responsible for updating and maintaining centralised Organ Donor Records in support of the organ donation process.
In this role you will be responsible for undertaking the administration and clerical duties in support of the Donor Family Care Service (DFCS), responsible for managing organ donor records and post donation correspondence throughout the UK. You will provide post donation donor family care and support.

Main duties of the job Your Day-to-day Responsibilities Will Include- Day-to-day management of processes and procedures associated with the setting up, maintenance and review of centralised organ donor files.
- Responsible for receipt of clinical results and documentation to ensure timely and accurate collation of the donor file and correspondence to donor families.
- Be a point of contact for bereaved donor families, who may require support or information about their loved one’s donation, escalating any complex enquiries to the DFCS Manager or Specialist Nurse (SN).
- Owning and maintaining the information systems and databases to support the accurate collation, storage and evaluation of organ donor records.
- Liaising with key stakeholders such as transplant centres and tissue banks to provide post donation information and correspondence between donor families and recipients, maintaining information systems and donor records to support the post donation service.
- Acting as a communication link between the donor family and the SN team, communicating sensitive information, professionally, with tact and empathy.
Ability to travel occasionally to other NHSBT sites, with prior notice.
About You Experience and Knowledge- Ability to be competent in the use of internal electronic applications such as Donor Path and the National Transplant Database.
- Broad experience in an administrative role including experience of data inputting and processing, drafting correspondence, reports and administrative support systems.
- Experience of working to Standard Operating Procedures.
- Good working knowledge and competent user of Microsoft Word, Excel and Outlook in order to produce reports, emails, letters, spreadsheets, presentations.
- Good standard of education with literacy and numeracy skill.
- NVQ level 3 in administration or equivalent level qualification and workplace experience including knowledge of handling non-routine activities such as work allocation, problem solving for an area of work and developing alternative processes and procedures.
- ECDL, ITQ2, CLAIT or RSA word processing level 3 or demonstrable work-based experience to obtain advanced keyboard skills.
