Care & Operations Coordinator – Vetn Care

The Client Care & Operations Coordinator is a client‑facing customer service role at Golden State Pet Cremation, responsible for supporting families with compassionate communication while accurately handling scheduling, documentation, and day‑to‑day administrative tasks. This role focuses on high‑touch client interaction, careful attention to detail, and reliable follow‑through, working closely with field and facility teams to ensure services are coordinated smoothly and respectfully.

The Role
  • Serve as the primary client contact, providing clear, empathetic communication and timely resolution of questions or concerns.
  • Coordinate personalized memorial requests and ensure all client interactions reflect dignity and respect.
  • Maintain highly accurate records for cremation services, client files, chain‑of‑custody documentation, inventory, and required documentation.
  • Manage scheduling for witnessed cremations, client appointments, drop‑offs, pick‑ups, and internal operational needs.
  • Oversee digital and physical filing systems and all correspondence with professionalism and consistency.
  • Process payments, generate invoices, support reconciliations, and assist with vendor coordination and required documentation.
  • Support daily operations by coordinating field routes, assisting crematorium technicians, and helping with onboarding logistics.
  • Maintain inventory, prepare memorial items, and help maintain a clean, organized, and respectful facility environment.
About You
  • 3+ years of experience in customer service, operations, logistics, or administrative support, ideally in a high‑touch or sensitive environment.
  • Exceptionally organized and detail‑driven, with a track record of managing sensitive information and multi‑step processes without errors.
  • Strong, compassionate communicator with experience in high‑touch, client‑facing service environments.
  • Thrives in fast‑paced, multi‑step operations and takes initiative to solve problems.
  • Collaborative and supportive partner to technicians, field representatives, and leadership.
  • Proficient with Google Workspace/Microsoft 365.
  • Committed to delivering respectful, dignified, and high‑quality care to every family.
