Description

Position Purpose

The Service Contract Administrator supports service accounts for Mechanical Solutions which can include tracking and reviewing new and renewing agreements, job/projects, and quoted work orders. Additionally, provides support within their area of responsibility working with office and operations team members on day-to‑day functions and will work independently on specialized processes.

Pay Range: $25.00 - $35.00 per hour, plus potential profit share.

Essential Duties and Responsibilities

  • Utilize Microsoft Dynamics 365 to oversee and manage all elements of Service Maintenance Agreements.
  • Receive, process, and establish Service Agreements from the sales team, ensuring complete and accurate data entry to support a seamless transition to Operations.
  • Provide backup support to dispatch when necessary.
  • Monitor and coordinate service project requirements including product ordering, forecasting, and scheduling in alignment with dispatch needs.
  • Use Microsoft Dynamics 365 Field Service and associated applications to onboard, support, and maintain operational workflows.
  • Support field technicians by ordering and distributing materials required to execute Service Maintenance Agreements and assist with customer‑specific tasks or needed documentation.
  • Maintain accurate and organized records of all service contracts, amendments, and related documents. Keep track of contract milestones, key dates, and deliverables.
  • Support and update important reporting resources and best‑practices for Field Service Operations in Dynamics 365 applicable to operations.
  • Track the completion of preventive maintenance work across various service business units.
  • Issue, audit, and close purchase orders on an as needed basis.
  • Communicate with internal and external Clients as needed.
  • Ensure that LONG is appropriately compensated for all work, including services performed beyond contractual obligations.
  • Support department billing as needed.
  • Schedules conference rooms for offsite meetings and coordinates flights, hotels, and car rentals for out‑of‑state technician training classes.
  • Other duties as assigned.

Qualifications

  • 3+ years' relevant work experience or higher education degree
  • High computer literacy and proficiency in Microsoft Outlook, Word, and Excel
  • Open and able to learn industry specific terms and processes
  • Ability to work well in a collaborative environment
  • High attention to detail and strong ability to multi‑task
  • Positive attitude with strong organizational and problem‑solving skills
  • Experience providing excellent customer service

Physical Requirements

  • This position may include sitting, lifting, bending, and kneeling for extended periods.
  • This position may require lifting to 25 lbs. from floor to counter top and counter top to floor.
