Job SummaryThe Referral Specialist is responsible for coordinating and scheduling incoming patient referrals from external providers to our clinics and healthcare professionals for routine office visits, in‑office diagnostic testing, and other medical services. This role ensures the timely and accurate processing of referrals while delivering exceptional customer service to patients, referring providers, and external offices. The Referral Specialist plays a vital role in helping patients access necessary care efficiently and in compliance with insurance requirements and healthcare regulations.
Additionally, this position is key to maintaining and strengthening relationships with referring clinics and other medical facilities.
- Process incoming and outgoing referrals in a timely manner.
- Review and verify patient demographics from incoming records to determine the need for a new patient chart.
- Verify patient insurance coverage and obtain prior authorizations as needed.
- Schedule specialist appointments and communicate details to patients.
- Coordinate with providers, insurance companies, and other healthcare facilities.
- Document referral activities in the electronic health record (EHR) system.
- Follow up on outstanding referrals to ensure completion and documentation.
- Maintain up‑to‑date knowledge of insurance policies and referral requirements.
- Provide excellent customer service to patients and resolve referral‑related issues.
- Ensure HIPAA compliance and confidentiality in all patient‑related matters.
- Education:
High School Diploma or equivalent required;
Associate degree or healthcare certification preferred. - Experience:
1–2 years of experience in a medical office, referral coordination, call center/scheduling, or insurance verification.
- Knowledge of medical terminology and healthcare processes.
- Proficiency with EHR systems (Athena One preferably).
- Strong attention to detail and organizational skills.
- Excellent communication and customer service abilities.
- Familiarity with insurance plans and prior authorization procedures.
- Demonstrates ability to multi‑task effectively using dual monitors in a fast‑paced environment.
- Office or clinic environment.
- May involve sitting for extended periods.
- Use of computers, telephones, and office equipment.
