Reports To: Assistant Building and Purchasing Manager

Job Summary

We are seeking a detail-oriented and organized Purchasing Coordinator to manage the placement and tracking of purchase orders for our company. This role is critical in ensuring timely procurement of materials and supplies, maintaining accurate records, and supporting the overall purchasing process. The ideal candidate has strong communication skills, is proactive, and is able to ensure deadlines are met.

Key Responsibilities
  • Create and submit purchase orders to vendors based on project and inventory needs.
  • Track open purchase orders to ensure timely delivery and follow up with vendors on order status, delays, or discrepancies.
  • Maintain accurate records of orders, deliveries, and vendor communications.
  • Coordinate with internal departments (e.g., operations, accounting, project managers) to verify order accuracy and resolve issues.
  • Monitor inventory levels and recommend reorder points to prevent stockouts.
  • Assist with vendor management and performance evaluations.
  • Prepare and maintain procurement reports and purchasing logs.
  • Support invoice reconciliation and ensure purchase order alignment with vendor bills.
Qualifications
  • High school diploma or equivalent required.
  • 1–3 years of experience in purchasing, procurement, or administrative support (preferably in construction, agriculture, or manufacturing).
  • Proficient in Microsoft Office (Excel, Outlook) and purchasing or ERP systems (e.g., Quick Books, Net Suite, or similar).
  • Excellent organizational skills with strong attention to detail.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines.
