Provides clerical assistance to the administrative and teaching staff on matters related to special education. Works include maintaining files, taking prior written notice, mailing documents, tracking timelines, and using office machines including a computer. Acts as the collection and organization point, and disseminator of all paperwork related to the Individualized Educational Plan (IEP) process.
Essential Duties / Responsibilities- Assist special education staff with IEP process documentation including parent notification and follow‑up to meetings.
- Track timeline for referrals, evaluations, and annual reviews.
- Complete Medicaid billing forms and SSIS forms.
- Utilize special education software to prepare related documentation.
- Make copies of IEPs for review and use by special education, regular education teachers, and parents.
- Maintain special education files and materials of instruction in an orderly manner.
- Maintain and organize student progress reports, data sheets and other documentation of achievement.
- Perform other related duties as assigned within the same classification or lower.
- High School Diploma or Equivalency Certificate required.
- One (1) year recent office, clerical, and/or administrative experience preferred; or an equivalent combination of education and experience.
- Ability to exercise initiative and good judgement in the timely execution of delegated administrative responsibilities.
- Ability to manage multiple tasks simultaneously.
- Excellent organizational, analytical, and planning skills.
- Excellent inter‑personal and problem‑solving skills.
- Demonstrated oral and written communication skills.
- Ability to interpret and follow written instructions and specifications, communicate and work effectively with supervisors, administrators, and other employees.
- Demonstrated ability to work and communicate with diverse populations.
- Proficiency with business technology applications (e.g., Microsoft Office Suite). For new permanent secretarial/clerical/technician hires, a minimum score on a pre‑employment assessment is required.
