Who Were Looking For:
Were looking for a highly organised Supporter Engagement Assistant to help deliver excellent supporter care at St Barnabas Hospice. Youll handle thankyouletters, data entry, income processing and supporter inquiries, while providingflexible support across Individual Giving, Lottery, Community and In Memoryfundraising. Youll also assist during busy campaign periods and step in tosupport team cover when needed.
If you have strong admin skills, great attention to detail and a passion for supportingmeaningful local care, wed love to hear from you.
Essential skills include:
- Previous experience in administration.
- Strong organisational skills.
- A commitment to accuracy and efficiency.
Supporter Stewardship & Individual Giving Support
- Support delivery of supporter stewardship activity (thank you letters, acknowledgements, onboarding packs, follow-ups).
- Assist with Regular Giving, Lottery, and appeal administration during campaigns.
- Support data entry, income processing checks, and supporter record updates in line with SLAs and GDPR.
Cross-Cover & Resilience
Provide planned and unplanned cover for:
- Legacy & In Memory Assistant
Maintain working knowledge of:
- In Memory administration processes
- Key calendars, deadlines, and compliance requirements
Campaign & Peak Period Support
Provide additional capacity during:
- Lottery pushes
- In Memory campaigns (e.g. Light Up a Life)
- Support mailings, fulfilment, supporter comms coordination, and admin-heavy activity.
- Assist with event or campaign supporter follow-up where required.
Operational & Team Support
- Work flexibly across Fundraising functions as directed by the Lead and IG Manager.
- Support the smooth handover of work between assistants to avoid single points of failure.
- Contribute to process improvement by flagging inefficiencies or risks.

Job Description

Reporting to -Supporter Stewardship and Experience Lead
Job Purpose
The Supporter Operations Assistant provides flexible operational support across Individual Giving, Supporter Stewardship, and Fundraising activity, ensuring continuity of service, campaign delivery capacity, and resilience during peak periods, holidays, and staff absence.
The role acts as a trained cross-cover resource, maintaining supporter care standards, administrative accuracy, and campaign momentum across Legacy & In Memory, Community Fundraising, and Individual Giving operations.
Main Duties and Responsibilities
Supporter Stewardship & Individual Giving Support
- Support delivery of supporter stewardship activity (thank you letters, acknowledgements, onboarding packs, follow-ups).
- Assist with Regular Giving, Lottery, and appeal administration during campaigns.
- Support data entry, income processing checks, and supporter record updates in line with SLAs and GDPR.
Cross-Cover & Resilience

Maintain working knowledge of-

Step into BAU tasks during holidays, sickness, or vacancies to protect delivery and supporter experience.
Campaign & Peak Period Support
Provide additional capacity during-
- Lottery pushes
- In Memory campaigns e.g. Light Up a Life
- Support mailings, fulfilment, supporter comms coordination,…
