We are seeking a proactive and customer‑focused Facilities Assistant to join our team. This role is integral to delivering a seamless workplace experience and ensuring compliance with health, safety, and environmental standards. You will support the Assistant Facilities Manager and work across all aspects of facilities management, including front‑of‑house services, contractor coordination, and project support.
Job DescriptionAs a Facilities Assistant, you will be responsible for providing high‑quality support services to staff and visitors, ensuring security procedures are followed, and maintaining compliance with HSEQ standards. You will play a key role in managing reception services, coordinating reactive and planned maintenance, and supporting audits and low to medium‑risk projects. This position requires excellent communication skills, attention to detail, and the ability to thrive in a fast‑paced environment.
Key Responsibilities- Welcome visitors and provide front‑of‑house support.
- Ensure security procedures and compliance with fire safety and first aid legislation.
- Deliver support services such as porterage, meeting room management, and FM mailbox handling.
- Conduct health and safety inductions for new starters, visitors, and contractors.
- Log, facilitate, and oversee reactive and planned maintenance visits.
- Assist with audits, including security and compliance checks.
- Support delivery of low to medium‑risk projects.
- Manage reception duties, including switchboard services and visitor access control.
- Maintain first aid supplies and act as a trained first aider.
- Operate booking systems for meeting rooms and manage stock levels for refreshments and stationery.
- Provide general administrative support to the facilities team.
- Proven experience in a fast‑paced environment.
- Strong customer service and communication skills.
- Ability to work collaboratively as part of a team.
- Problem‑solving mindset and attention to detail.
- Knowledge of HSEQ compliance and workplace safety standards.
- Competence in using booking systems and CAFM tools (training provided).
- Flexibility to cover alternate locations when required.
- First Aid qualification (or willingness to obtain).
- Professional and presentable at all times.
