The Team You’ll Work With:

The Office of the Chief of Staff to the Mayor is responsible for the full suite of citywide and agency administrative operations to include scheduling and preparing the Mayor for his daily briefings, meetings, and events. The team led by the Mayor’s Chief of Staff coordinates the operations of the Office of International Affairs, the Office of Operations, the Office of Special Projects and Community Events, the Office of Citywide Event Coordination and Management, Gracie Mansion, and the Office of Correspondence, the Office of Mass Engagement, the Office of Emerging Markets, and the Office of Sports, Wellness, and Recreation.

Problems You’ll Solve:

The Scheduler supports the Mayor’s Office by supporting the management of the Mayor’s calendar and coordinating logistics for meetings, events, and travel. This role requires strong organizational skills, attention to detail, and professionalism in handling communications with internal and external stakeholders. The Scheduler reports to the Director of Scheduling and works closely with the broader scheduling and executive office team.

Calendar Management
  • Manage and update assigned calendar entries for the Mayor, ensuring accuracy and completeness of all logistical details.
  • Track meeting requests and deadlines; flag conflicts, gaps, or inconsistencies to senior scheduling staff.
  • Ensure calendars reflect appropriate preparation time, travel buffers, and staffing needs.
Request Triage & Correspondence
  • Receive and process scheduling requests from internal staff, City agencies, elected officials, community organizations, and external stakeholders.
  • Respond promptly and professionally, escalating requests as appropriate.
Logistics & Coordination
  • Coordinate meeting logistics, including room reservations, transportation, staffing, and materials.
  • Work with security and advanced staff to support safe and efficient movement at events.
Preparation & Documentation
  • Assist in preparing daily schedules and briefing materials.
  • Maintain accurate records and documentation related to scheduling and briefing.

  • You have strong organizational skills and exceptional attention to detail.
  • You are a professional, clear, and courteous communicator.
  • You can manage multiple tasks in a fast-paced environment.
  • You have sound judgment and a willingness to ask questions or elevate issues when appropriate.
  • You have prior experience in scheduling, operations, or administrative support.
  • You have absolute discretion in highly sensitive environments.
Minimum Qualifications
  • Bachelor’s Degree required.
  • 0-3 years of experience.
Preferred Skills
  • You are familiar with New York City government & politics.
  • You have love for New York City neighborhoods and communities.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
