Overview

This position is responsible for performing daily administrative and clinical duties to facilitate efficient operations in an outpatient clinic setting. This position provides support in providing safe, quality care and customer service to patients, physicians/providers and other members in the clinical care teams.

Responsibilities
  • Patient Examination/Treatment:
    Escorts patients to exam rooms on a timely basis, keeping team members informed regarding delays; prepares patients for appropriate examination and triaging as necessary (e.g., radiologic studies, cast removal); assists physicians in the patient examination process; evaluates the need for wound care and ensures appropriate patient education; provides for splint/cast applications and removals when applicable; processes prescriptions per physician order and educates patients on medication side effects;

    prepares injectable medications and equipment; coordinates referrals for ongoing services (e.g., therapy services, home health, surgical procedures, DME); acts as a patient liaison for resolution of patient problems; environmental responsibilities as assigned (e.g., setting up instruments, cleaning rooms and equipment per infection control standards, cleaning sterilizer, restocking rooms); fulfills patient care responsibilities as assigned (e.g., checking schedules, assisting with procedures, charting, relaying instructions, answering calls)
  • Physician Liaison

    Activities:

    Responds to incoming calls and determines the best method for resolution by identifying the most appropriate respondent; channels requests to ensure resolution; secures charts related to diagnostic tests and discusses issues with physicians; completes chart notes as appropriate; assists in securing missing diagnostic codes/information on charge tickets.
  • Appointment Scheduling:
    Assists in scheduling appointments for new and established patients; discusses with physician special needs patient appointments, provides medical charts for review as required, and secures approvals for visits outside routine scheduling templates.
  • Correspondence (Written/Faxed/Verbal):
    Sends prescriptions for therapy, orthotics, return to work notes, gym notes, etc.; provides workers’ compensation carriers with updated status on patients; completes attending physician statements and other forms; fulfills clerical responsibilities such as sending/receiving records, obtaining reports, completing forms, and verifying insurance coverage and patient demographics.
  • Support

    Activities:

    Prepares clinical charts prior to patient appointments and ensures data such as x-rays, MRI/dexa results, and outside reports are secured; notifies management when clinic supplies are low; ensures exam rooms and related areas are clean, orderly and stocked at the end of clinics.
  • Operational:
    Participates in learning new systems as required; serves as informational contact for patients and families (e.g., notifying delays, directing seeking information, responding to inquiries or complaints); maintains professional image; attends mandatory in-service programs; fulfills organizational responsibilities including respecting patient rights and responding to emergencies as needed.
Requirements
  • Preferred:
    Successful completion of an accredited Medical Assistant Program (CMA)
  • Maintains CPR certification
  • Experience in an orthopedic healthcare setting is preferred
  • Able to multi-task and work in a fast-paced environment
  • Good verbal and written communication skills
  • Knowledge of practice management and EHR software, Google products, Microsoft Office, and Windows-based applications
  • Strong interpersonal skills and the ability to work professionally with physicians, patients and staff at all levels; ability to develop and maintain cooperative working relationships
Physical Demands / Work Environment
  • Full range of body motion including handling and lifting patients; manual dexterity and eye-hand coordination
  • Standing and walking; occasional lifting up to 35 lbs for patient transfers

Base salary offers for this position may vary based on factors such as location, skills and relevant experience.
