Overview

IBJI is seeking a Patient Services Coordinator II to support the Libertyville Physical and Occupational Therapy team. The role delivers exceptional patient‑centered customer service, manages registration, scheduling, triage, and provides clerical support in a fast‑paced office environment.

Responsibilities
  • Welcome patients and visitors, providing high‑quality customer service
  • Prepare and maintain patient paperwork and chart management
  • Answer general inquiries and perform phone reception, patient triage, and escalation
  • Conduct appointment scheduling, registration/pre‑registration procedures, insurance verification, and referral management
  • Collect and post patient responsibility payments (copays and deductibles)
  • Assist in training staff and mentoring new employees
  • Maintain a clean and safe work environment
  • Manage heavy phone reception, scanning, emailing, faxing, and other clerical duties
  • Available to work a flexible shift schedule: 6:30am‑8:00pm Monday‑Thursday; 7:00am‑5:30pm Friday; no weekend work
  • Occasional travel to nearby clinics for front‑desk coverage
Qualifications
  • High school diploma or equivalent required; associate’s degree preferred (healthcare concentration plus)
  • Minimum three years experience in customer service (medical office experience is a plus); minimum one year in a patient‑services related role preferred
  • Epic EHR experience preferred; knowledge in medical terminology preferred
  • Ability to handle highly confidential, sensitive, and non‑routine information
  • Proficient with scheduling and rearranging appointments
  • Strong working knowledge of Microsoft Office and Windows‑based computer applications
  • Insurance payer and eligibility knowledge
  • Team player who thrives in a fast‑paced environment and can work a flexible schedule as needed
  • Neat, professional appearance
  • Strong written and verbal communication skills; results‑oriented with concern for appropriate process
  • Willingness to attend and successfully complete ongoing training required to maintain responsibilities

Competitive compensation: $19‑$24/hour (based on education & experience).
