Front Desk Position Summary & Responsibilities

The Front Desk team member serves as the first point of contact for patients, staff, and external partners, playing a critical role in creating a welcoming, organized, and professional environment. This position supports daily clinic operations through effective communication, scheduling, and administrative coordination while maintaining patient confidentiality and compliance with practice policies.

Key Responsibilities
  • Greet and check in patients in a courteous, professional, and timely manner
  • Manage appointment scheduling, rescheduling, and cancellations
  • Answer phone calls, respond to messages, and direct inquiries appropriately
  • Verify patient information, insurance details, and required documentation
  • Collect copays and process payments as needed
  • Maintain accurate records within the electronic health record (EHR) system
  • Coordinate with clinical and administrative staff to ensure smooth patient flow
  • Uphold HIPAA standards, office policies, and professional boundaries
  • Assist with general administrative tasks to support clinic efficiency
  • Verify eligibility and request referrals
Qualifications & Skills
  • High school diploma or equivalent required; additional education or training in healthcare administration preferred
  • Prior experience in a medical, behavioral health, or customer service–focused setting preferred
  • Strong interpersonal and communication skills, both verbal and written
  • Ability to maintain professionalism, discretion, and confidentiality at all times
  • Working knowledge of scheduling systems, electronic health records (EHR), and basic office software
  • Excellent organizational and time-management skills with strong attention to detail
  • Ability to multitask, prioritize responsibilities, and adapt in a fast-paced environment
  • Strong problem-solving skills and ability to manage difficult or sensitive interactions calmly
  • Dependable, punctual, and able to work collaboratively as part of a team
