Position: Municipal Account Assistant (PDF) PART-TIME

Town of Lexington, MA

Position

Municipal Account Assistant – Treasurer/Tax Collector's Office (part‑time, 16 hours/week). Salary $27.29–$31.14 per hour, dependent on qualifications. Limited benefits (pro‑rated holiday and sick leave).

General Summary

Provides general administrative and clerical support for the needs of the Treasurer/Tax Collector Office; performs all other related work as required.

Essential Functions
  • Answer telephone, respond to emails, assist customers at front counter, receive payments for real estate, personal property, excise taxes, and water/sewer usage fees, answer inquiries, provide billing information to internal and external customers including taxpayers, lawyers, collection, federal and state agencies, and town staff.
  • Receive and verify cash/check turnovers from all municipal departments and post to General Ledger.
  • Prepare and deliver daily bank deposit from consolidated turnovers and post to General Ledger.
  • Prepare and record Municipal Lien Certificates for refinancing and home sales.
  • Serve as back‑up to balancing the cash drawer on a daily basis.
  • Process release of betterments.
  • Provide administrative support and assistance to Department staff as directed.
  • Perform special projects as required.
  • Interact with vendors as needed for contracting office equipment maintenance and other services; perform routine maintenance on office equipment within skill level.
  • Process incoming and outgoing postal mail.
  • Act as a back‑up for accounts payable by organizing and mailing A/P warrants; act as a back‑up for processing parking ticket receipts and help post daily receipts into the financial system when needed.
  • Process records and specialized reports containing confidential information, file documents and maintain filing system.
  • Regular attendance at the workplace is required.
  • Perform other similar or related duties, as required or as situation dictates.
Supervision

Scope:
Performs varied and responsible functions requiring a working knowledge of departmental operations and the exercise of judgment and initiative, particularly in situations not clearly defined by precedent or established procedures.

Received:
Works under general supervision of the Treasurer/Tax Collector, following department rules, regulations, and policies, requiring the ability to plan and perform operations, and to complete assigned tasks according to a prescribed time schedule. Refers all questionable cases to supervisor.

Minimum Qualifications
  • Education, Training and

    Experience:

    High School Diploma, Associate’s Degree preferred, and one to two (1–2) years of related experience, or any equivalent combination of education and experience which provides the required knowledge, skills and abilities to perform the essential functions of the position.
  • Special Requirements: None.
  • Knowledge: Local, state, and federal rules and regulations; standard office practices and procedures; office equipment and the operation of computer software applications, particularly word processing, spreadsheet, database, email, and internet.
  • Ability: Work independently and prioritize tasks; organize and maintain records; communicate effectively verbally and in writing; multitask and perform administrative support services in a busy environment; handle an environment involving close contact with coworkers and the public, including upset customers.
  • Skills: Excellent customer service and interpersonal skills; excellent written and verbal communication skills; excellent computer skills including MS Office applications, MUNIS, and department software applications.
Job Environment

Work is performed in an office environment, moderately noisy. Operates computer, printer, telephone, copier, postage machine, facsimile machine, and all other standard office equipment. Makes frequent contact with taxpayers, attorneys, banks, collection agencies, federal/state agencies, town staff and the public. Has access to department‑related confidential information pertaining to personal checking information. Errors could result in poor customer service and delay, or loss of service and may have financial and/or legal repercussions.
