The Event Specialist supports the planning, coordination, and execution of internal, customer, and external events. This role ensures all events meet Five Star hospitality standards while maintaining seamless communication, attention to detail, and operational excellence.

Depending on assignment, the Event Specialist may focus on internal corporate events, customer-facing programs, or external community and partner events.

Key Responsibilities Event Planning & Coordination
  • Confirm final event details and deliverables via email and internal systems
  • Process event request forms according to established procedures
  • Produce and coordinate event materials including floor plans, name tags, signage, rentals, and recommendation packages
  • Oversee agreed-upon setup requirements and timelines
  • Serve as on-site point of contact for events, following approved processes
  • Step into full Event Coordinator responsibilities when needed
Hospitality & Guest Services
  • Perform front-of-house duties as needed, including serving, bartending, wine service, dining room management, busing, and room setup/teardown
  • Provide courteous, professional service to guests, clients, and leadership
  • Conduct tours of corporate and hospitality-managed spaces as assigned
  • Assist with hotel coordination, transportation, site visits, and plant or facility tours when applicable
Operations & Logistics
  • Assist with audio/visual setup and teardown; operate basic AV functions such as microphones, background music, and volume controls
  • Remain knowledgeable in AV functionality and troubleshooting basics
  • Tear down and reset event spaces following service
  • Restock meeting room resources and hospitality amenities
  • Maintain inventory, calendars, tracking documents, and dietary restriction logs
  • Perform room audits and submit support requests related to facilities, janitorial, or technology needs
Communication & Administration
  • Manage shared inboxes and proactively assign ownership of communications
  • Draft, review, and distribute internal-facing agendas and event materials
  • Submit support tickets and requests related to event needs
  • Utilize Microsoft Office Suite and assigned technologies effectively
  • Maintain confidentiality related to business and event information
Team & Brand Support>
  • Participate in pre-shift meetings and weekly service meetings
  • Support off‑site events as assigned (trainings, outings, external programs)
  • Maintain organized team resources, storage areas, and digital tools
  • Build and maintain relationships with vendors>
  • Uphold Five Star hospitality standards, brand identity, and service excellence
  • Qualifications
    • 1–3 years of experience in food service, hospitality, or event support required
    • Supervisory or lead experience preferred
    • , and multitasking skills
    • Ability to work well independently and as part of a team
    • Comfortable working in fast‑paced, fluid environments with limited oversight
    • Professional written and verbal communication skills
    • Proficiency with Microsoft Office and event‑related technologies
    Physical Requirements & Working Conditions
    • Ability to lift up to 30 pounds
    • Position is physical and requires standing, walking, repetitive movements, and interaction with equipment and machinery
    • Work performed both indoors and outdoors depending on event needs

    Schedule & Additional Information
    • Primarily Monday through Friday
    • Occasional overtime, evenings, and weekends required for special events
    • Job responsibilities represent approximately 70% of the role; additional duties may be assigned as business needs evolve
