Medical Support Assistant (Advanced) – U.S. Department of Veterans Affairs
Job Summary
The incumbent serves as an Advanced Medical Support Assistant in the Outpatient Clinic Unit of Ambulatory Care & Processing Section of Health Administration Service and works at a two‑divisional teaching hospital affiliated with the University of Kentucky Medical Center at the U.S. Department of Veterans Affairs Medical Center. He/she will normally work at one of the locations for the two divisions (Cooper Drive or Leestown Road) but is required to work at the other location as necessary.

Six months experience of clerical‑office‑customer‑service‑or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position. - OR One year above high school.
- OR Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
- English Language Proficiency: MSA's must be proficient in spoken and written English in accordance with VA Handbook 5005 – part II – chapter 3 – section A – paragraph 3j.
- May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
- Grade Determinations: GS‑06 Medical Support Assistant (Advanced).
- You must have one year of experience equivalent to the GS‑05 level.
- Examples of specialized experience include scheduling, canceling, re‑scheduling patient appointments and/or consults; entering no‑show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic; and verifying and updating demographics and insurance information when patients check‑in for appointments.
- Advanced knowledge of the technical health care process, policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community models, and patient health care portals as it relates to access to care.
- Knowledge – Skills – and Abilities (KSAs) include collaborating and communicating with a wide range of medical clinicians, independently setting priorities and organizing work to meet deadlines, communicating tactfully and effectively electronically, by phone, in person and in writing, and preparing reports and presenting data.
Physical Requirements
The Advanced Medical Support Assistant must be able to operate a computer terminal and manage multiple activities at one time. Work is generally sedentary but may involve walking, standing, bending and carrying light items. The environment can be stressful during peak clinic hours.
Duties
- Collaboratively support an interdisciplinary coordinated care delivery environment.
- Coordinate with the patient care team to review clinic utilization using various reports.
- Ensure clinic setup is monitored and adjusted as needed.
- Maintain effective and efficient communication with patients, interdisciplinary team, management, VA medical centers and other agencies.
- Collect, scan and update health insurance information and promote Veteran registration in My Healthy Vet (MHV).
- Train other MSAs and serve as a preceptor to developmental MSAs.
- Schedule appointments and notify supervisor when clinic area access is less than desirable or when a patient cannot be scheduled within mandated time frames.
- Review active/pending consults, encounters, electronic wait lists and MHV secure messaging communications for accuracy and disposition.
- Report backlogs and scheduling difficulties, and solve scheduling problems independently.
Pay Range
Base pay range: $47,306.00 / yr – $61,495.00 / yr.
