Position Overview

The Office Manager plays a key role in ensuring smooth day-to-day operations and maintaining a professional, compliant, and patient-focused office environment. This position oversees administrative functions, assists leadership, supports compliance efforts, and serves as a central point of contact for staff and patients.

Responsibilities
  • Oversee daily office activities, ensuring smooth and efficient operations.
  • Act as the primary point of contact for phone calls, emails, mail processing, and visitor reception.
  • Manage office spaces, equipment maintenance, supplies, and vendors.
  • Develop, document, and enforce office procedures and workflow standards to enhance efficiency.
  • Facilitate communication across departments to support teamwork and productivity.
  • Support compliance with state medical cannabis regulations (Kentucky’s Medical Cannabis Program) by helping ensure processes for patient records and card issuance follow applicable laws.
  • Serve as a knowledgeable, professional contact for patients or applicants seeking a Kentucky Marijuana Card.
  • Provide clear guidance on appointment scheduling and general questions about card processing procedures.
  • Maintain confidentiality and proper handling of sensitive patient information.
  • Schedule Coordination, including phone calls
  • Draft, review, and send internal and external correspondence, including notifications to patients or partners.
  • Ensure strict data privacy and confidentiality—critical in any healthcare-related environment.
  • Identify areas where office systems or processes can be improved and recommend solutions.
  • Help implement new tools or technologies to improve productivity and workflow.
Qualifications
  • Proven experience as an Office Manager, Administrative Manager, or similar role
  • Ability to work independently and manage priorities effectively
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Comfortable working in a regulated healthcare or cannabis-related environment
  • Understanding of office equipment, systems, and procedures
  • Skilled in Microsoft Office, Excel, and Outlook
  • Excellent time management skills and ability to prioritize multiple tasks
  • Strong problem-solving skills and attention to detail
  • Reliable, dependable transportation
