Position: Patient Services Coordinator I

Overview

The US Oncology Network is looking for a Patient Services Coordinator to join our team at Texas Oncology
. This full‑time position will support the Revenue Cycle Department at our 1921 State Highway 121, Suite 200 clinic in Lewisville, Texas. Typical work week is Monday through Friday, 8:30 a.m. – 5:00 p.m.

What does the Patient Services Coordinator do? (including but not limited to)

The Patient Services Coordinator professionally greets and welcomes patients and their friends/family. They register and schedule appointments for patients efficiently and timely. They answer, screen, and direct all incoming calls to appropriate personnel, relaying messages between patients and clinical staff. They support and adhere to the US Oncology Compliance Program, including the Code of Ethics and Business Standards, and US Oncology's Shared Values.

Responsibilities
  • Greets patients and visitors to the clinic promptly, courteously, and professionally, and checks them in with clinical staff.
  • Provides and explains paperwork for patients to complete prior to examination, collects and files patient forms, updates demographics and insurance information in the system, and collects co‑pays and balances with a receipt.
  • Answers, screens, and responds to routine questions, routes calls to appropriate personnel, or takes thorough messages, and pages clinic personnel as appropriate.
  • Checks patients out after examination, schedules returning appointments per physician or office guidelines, and provides patients with appointment details such as time, location, directions, instruction sheets, and other details.
  • Records patient cancellations and missed appointments, reschedules appointments, and notifies appropriate staff with a note in the patient chart.
  • Provides general administrative support by filing charts and forms, maintaining the lobby area neatly and orderly, and ensuring a legible supply of forms and appropriate office supplies for daily activities.
  • Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patients' records.
  • Performs other duties as requested or assigned, including typing memos and forms.
Qualifications

The ideal candidate for the Patient Services Coordinator will have the following background and experience:

Level 1
  • High school diploma or equivalent required.
  • Some receptionist or office experience preferred.
  • Proficiency with computer systems and Microsoft Outlook, Office Word and Excel required.
  • Must successfully complete required e‑learning courses within 90 days of occupying the position.
Level 2 (including Level 1 requirements)
  • At least eighteen (18) months front‑medical office receptionist experience with insurance forms and scheduling software required.
  • Knowledge of this practice's personnel, daily routines, and scheduling a plus.
