We are seeking a highly organized and customer-focused Production Coordinator to serve as the operational glue between our Project Manager, Field Superintendent, and homeowners.
This role is essential to keeping projects moving efficiently and ensuring our customers feel informed and supported throughout the process.
Position OverviewThe Production Coordinator is the primary point of contact for customers after a project is sold. This role manages communication, documentation, scheduling confirmations, and project flow coordination for 200+ projects per year.
The ideal candidate is highly organized, proactive, detail-oriented, and confident in communicating with homeowners in a professional and positive manner.
Key Responsibilities Customer Communication & Project Intake- Serve as the main point of contact for customers once their project enters production
- Send introductory email outlining next steps and introducing the Project Manager
- Schedule remeasure appointments
- Provide consistent updates throughout the production process
- Track HOA approvals and conduct weekly follow-ups when needed
- Scan and maintain all HOA approvals and documentation
- Prepare and organize permit packets
- Ensure all required documentation is complete and filed properly
- Maintain organized digital and physical job folders
- Scan and file remeasure paperwork
- Confirm installation and electrical schedules with homeowners
- Communicate schedule changes clearly and efficiently
- Send completion follow-up emails
- Provide warranty and customer resource information
- Request online reviews
- Maintain a high standard of customer experience
- 2+ years experience in administrative coordination, customer service, or project support
- Exceptional written and verbal communication skills
- Strong organizational and time management abilities
- Comfortable managing 20–30 active projects at once
- Detail-oriented and process-driven
- Ability to follow up consistently and assertively when needed
- Proficient in Microsoft Office and basic digital document management
- Construction or permitting experience is a plus, but not required.
