We are looking for an Operations & Project Coordinator who wants to champion our agency’s workflow and creative team. This is a high-impact role acting as the “right hand” to the owner, ensuring our team plays offense and our clients are “over-awed” by our precision.

The Mission (Key Responsibilities)
- Pipeline Mastery: Oversee the project pipeline within our CRM, ensuring every project moves from initiation to completion with zero friction.
- The Owner’s Right Hand: Act as a strategic liaison for the owner, tracking daily tasks, coordinating high-level client communications, and anticipating needs before they arise.
- Resource Alignment: Assign projects and tasks to the creative team, establishing clear deadlines and managing time allocations to ensure project profitability.
- The Voice of the Workflow: You don’t just manage the work; you own the delivery. You are responsible for maintaining clear, professional, and proactive communication with clients, ensuring they are informed, confident, and “over-awed” by our progress.
- Scope Protection: Collaborate with account managers to identify out-of-scope work, ensuring we deliver value while maintaining agency health.
- System Innovation: Proactively recommend CRM and workflow enhancements. We value curiosity as a competitive advantage.
Qualifications & Skills
- The “Finisher” Mindset: An assertive ability to get projects across the finish line with accuracy and urgency.
- Organizational Mastery: Exceptional time management skills and the ability to manage multiple high-priority tasks simultaneously.
- Communication: Professional and direct communication skills—radical honesty is our policy.
- Tech Literacy: Proficiency with Google Workspace (Sheets, Docs, Slides). Experience with CRM systems is preferred but not required—we will fuel your education.
- Discretion: Ability to work with high-level initiatives with absolute discretion and initiative.
- Hours: Monday – Friday, 8:30 am – 4:30 pm (No weekends).
- Health: Dental and Extended Health Care (after probation).
- Environment: Semi-casual dress, team events, and free on-site parking.
Location: In-person at our Lethbridge, AB office (Commute/Relocation required).
