The Role

We are looking for a highly organized, friendly, and compassionate Clinic Administrative Assistant to be the first point of contact for our patients. You will keep our daily operations running smoothly, support our audiology staff, and ensure every patient has a seamless and positive experience.

Key Responsibilities
  • Patient

    Experience:

    Greet patients warmly, answer questions, and provide exceptional customer service in person, over the phone, and via email.
  • Scheduling & Coordination: Manage the clinic calendar, book appointments, and send out appointment reminders to keep the day on track.
  • Records Management: Accurately update and maintain patient files, process intake forms, and handle confidential medical information with care.
  • Billing & Insurance: Process payments, bank deposits, handle billing inquiries, and submit claims to insurance providers or provincial health programs.
  • Clinic Support: Maintain a tidy reception area, manage office and clinical supply inventory, and occasionally assist with basic hearing aid troubleshooting (e.g., cleaning or changing batteries—we will train you!).
What You Bring
  • Previous administrative or customer service experience (experience in a medical or clinical setting is a huge plus!).
  • Exceptional communication skills with a warm, empathetic, and professional phone demeanor.
  • Strong organizational skills and the ability to multitask in a busy environment.
  • Comfort with technology, including scheduling software, billing systems, and standard office programs.
  • A positive attitude and a genuine desire to help people improve their quality of life.
