Responsibilities

As the Administrative Support for our newly formed Major Capital Projects department, you will play a crucial role in supporting the delivery of capital project initiatives that will shape the future of our institution. You will be the linchpin of our department, providing essential support to the entire planning and construction team. This role offers a unique opportunity to be part of transformative projects that will have a lasting impact on our university and community.

  • Providing exceptional customer service as the first point of contact for stakeholders and community.
  • Coordinating complex schedules and arranging meetings for the Major Capital Projects team, multiple committees, design teams, contractors, and internal staff.
  • Managing document flow and maintaining impeccable organizational systems.
  • Planning and executing high-profile events and meetings.
Position Qualifications
  • A two‑year Office Administration or comparable diploma and a minimum of three years related work experience, or an equivalent combination of education and experience.
  • Proven administrative abilities with excellent communication, organizational, record‑keeping, filing, and telephone skills.
  • Demonstrated ability to work in a fast‑paced environment, dealing with interruptions and overlapping deadlines.
  • Ability to exercise independent judgment while maintaining effective working relationships within the University community.
Preference
  • Familiarity with University of Lethbridge programs and systems.
  • Experience in an administrative role in a project‑based, architectural, engineering, or construction‑related environment.
Ideal Candidate Profile
  • Outgoing and positive attitude with an enthusiastic approach toward stakeholder service.
  • Exceptional proficiency in MS Office suite, particularly Excel, Word, SharePoint, One Note, and PowerPoint.
  • Outstanding organizational skills with keen attention to detail.
  • Excellent verbal and written communication abilities.
  • Proven experience in document management and filing systems.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong interpersonal skills and a customer‑oriented mindset.
  • Experience in event planning and coordination.

  • Adaptability and resourcefulness to handle changing project needs.
  • Initiative and ability to anticipate needs.

Compensation

Starting Salary Range (at 1.0 FTE): $3,741.00 - $4,163.00 monthly

Full Salary Range (at 1.0 FTE): $3,741.00 - $4,584.00 monthly (AUPE - Grade 7)
