Office Administrator/ Coordinator

This position provides administrative support and assists with a variety of projects to ensure our office and programs operate effectively and efficiently.

DUTIES AND RESPONSIBILITIES Program Support:Classroom United
This position supports the coordination and weekly operations of Classroom United by managing volunteers and maintaining inventory and records. The role also assists with teacher engagement initiatives to expand program awareness.
- Position requires an on site presence Mondays, Tuesdays, and Wednesdays from 3:00-5:30 pm during the Caldwell County School year.
- Assist with planning annual Stuff the Bus school supply campaign
Weekend Backpack Food Program (runs during school year)
This position supports coordination and logistics by managing inventory and working closely with school partners and supporting and scheduling volunteers. This role involves active, hands on movement including bending, lifting, and transporting supplies (including pulling a wagon up a ramp).
- Order, pickup, receive, and unload food and deliveries weekly.
- Coordinate with school contacts regarding student counts, schedules, and delivery/pickup logistics.
This position provides general office support to ensure smooth daily operations. Responsibilities include front office coordination, recordkeeping, board support, and assistance with events and other programs.
- Answering phones and greeting visitors
- Assist in revisions to policies, employee handbook, organization bylaws, board manual, etc.
- Order and maintain office supplies and equipment; assist with shared office upkeep.
- Maintain organized records for vendors, contracts, insurance, and compliance documentation.
- Meeting and event support (preparation, attendance, minutes)
- Assistance with campaigns, fundraising, and donor support.
- Other duties as assigned.
- Proficiency of Google Workspace, Zoom, and Microsoft 365 products including Teams, Word, Excel, PowerPoint, and Publisher.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize assignments to ensure successful completion of duties, and meet deadlines.
- Strong administrative skills including database management
- Valid NC driver’s license and reliable transportation required.
- Ability to pass background check
- High School diploma or equivalent required. Associate degree preferred.
- Ability to maintain confidentiality upon receipt of sensitive financial information and personal donor or company information.
- Cultural competency
- Ability to support and communicate with diverse populations across Caldwell County, including people of different ages, cultures, abilities, socioeconomic backgrounds, and life circumstances and to treat everyone with respect.
- Prolonged periods sitting at a desk and working on a computer.
- Ability to lift, carry, and move up to 25 pounds regularly
* Weekly hours may vary based on program schedules, deliveries, volunteer packing days, campaigns and events. Occasional evening or early morning hours may be required.
