The Project Coordinator – Sales position’s primary responsibility is to provide quality administrative, and staff support for the sales team. The Project Coordinator – Sales position is a highly visible position, responsible for coordination of activities and ensuring timely flow of information within the Sales Team.
The Project Coordinator – Sales position is required to independently manage multiple tasks and projects with competing priorities and deadlines, organize and maintain administrative processes within the sales team, maintain a high level of confidentiality and anticipate the needs of the team and react accordingly.
Duties/Responsibilities:- Provide administrative communications and organizational support to all levels of the sales team.
- Act as a liaison with other departments and external partners and/or vendors.
- Attend meetings, take minutes, track action items and proactively assemble the appropriate people and resources for effective follow-up on tasks.
- Coordinate hospitality for meetings – including ordering lunches and anticipating needs for meetings.
- Handle all information professionally – including sensitive and confidential information.
- Expense report preparation and management.
- Review distributions for errors.
- Maintain general and electronic files, manage CRM/Salesforce. Ongoing Cleanup to ensure data accuracy as requested by management.
- Field potential client calls direct to the appropriate salesperson as well as enter in new leads into the CRM from our website, phone calls, etc.
- Proactively identify and elevate challenges related to contract requests.
- Create and develop reports and visual presentations utilizing Microsoft PowerPoint, Visio, or other software. Experience in Salesforce and Hub Spot a plus.
- Data entry work as assigned.
- Perform other related tasks as assigned.
Preferred Experience:
- Minimum of 2 years of experience in a support role within a high-volume, fast-paced sales environment.
- Strong collaboration skills, both internally and externally.
- Ability to build relationships with the sales team.
- Professional presentation skills, and excellent written and verbal communication skills.
- Ability to work independently and within a team on special, nonrecurring, and/or ongoing projects.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to work under pressure and perform multifaceted projects in conjunction with daily activities.
- Excellent attention to detail is a MUST.
- Ability to provide excellent customer service, presenting a friendly and welcoming demeanor.
- Demonstrated ability to interact and communicate effectively with all levels of the organization, clients, and staff.
- Strong typing, writing, proofing, and editing skills.
- Extensive experience with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Calendar.
- Bachelor's degree or equivalent experience preferred
