The Senior Invoice Acquisition Specialist is responsible for managing utility and invoice acquisition processes for a broad portfolio of clients. This role applies in-depth knowledge of billing systems and utility operations to ensure timely receipt, accurate processing, and issue resolution for client utility invoices. The specialist serves as a key point of contact for escalations, supports process improvements, and collaborates across teams to enhance client satisfaction and operational efficiency.

$17.45 - $27.31 an hour

This band covers the full base compensation range for this role. Your offer within this range will depend on factors like experience, skills, and internal equity. Level - S3

Responsibilities
  • Manage a portfolio of client services with minimal oversight, ensuring timely and accurate invoice acquisition
  • Resolve complex invoice discrepancies by liaising with utility providers and internal teams
  • Recommend and implement improvements to invoice receipt processes and tracking systems
  • Train and mentor team members to support overall team development and knowledge sharing
  • Maintain strong relationships with utility providers to streamline communication and resolve recurring issues
  • Support the onboarding of new properties by working cross-functionally to ensure invoice readiness
  • Ensure all invoice activities are compliant with tax regulations, accounting standards, and company policies
  • Participate in continuous improvement efforts, including documentation of best practices and process updates
  • Assist leadership with reporting and performance insights related to invoice management
Essential Functions
  • Independently manage and troubleshoot invoice acquisition processes across multiple clients
  • Apply sound judgment to resolve moderately complex issues with minimal supervision
  • Maintain invoice data accuracy and consistency in line with compliance standards
  • Collaborate cross-functionally to ensure seamless invoice operations
  • Ability to prioritize tasks effectively by meeting deadlines and managing workload efficiently
  • Maintain professional interaction with internal and external stakeholders
  • Ability to work in a fast-paced and high-stress environment
Minimum Qualifications
  • Advanced attention to detail and a high level of accuracy in data handling
  • Proven ability to resolve moderately complex issues using sound judgment
  • Strong interpersonal and written communication skills
  • Demonstrated ability to work independently and manage multiple priorities
  • Capable of mentoring others and contributing to team growth and knowledge sharing
  • High school diploma or equivalent
