Role Information

This role is for an administrator ideally with some knowledge of the beauty therapy industry to support the administrative functions within our beauty academy. You will be responsible for monitoring learner attendance, ensuring necessary resources are available to facilitate course completion, and acting as a liaison between tutors and learners. You will be the first point of contact for learners and therefore must be confident, have a good telephone manner, and be professional and dependable.

Responsibilities
  • Support the Academy Manager and Business Development Officer with enrolment and onboarding of new learners.
  • Process learner paperwork as directed by the Academy Manager.
  • Assist learners in applying for financial support (bursary) by collecting, checking and chasing documents.
  • Resolve queries by collecting, checking and chasing learner evidence (e.g., residency, benefits, ).
  • Invigilate exams where instructed.
  • Manage front desk and undertake reception duties providing support, advice and guidance to learners, colleagues and customers.
  • Complete finance tasks as required.
  • Oversee academy inventory, complete stock checks, support procurement, raise and fulfil purchase orders.
  • Collaborate with the property team to report issues via Fix Flo and follow up.
  • Support the Academy Manager and tutors with collating health and safety forms for work placement.
  • Complete Health & Safety and First Aid training, promoting and maintaining a safe working environment.
  • Collect job outcome evidence for learners where applicable.
  • Be available to support other academies as required.
  • Provide course enquiries support and signpost to the business development team.
  • Contact potential learners to arrange interviews, inductions and enrollments.
  • Monitor learner attendance by liaising with tutors and the academy manager.
  • Liaise with the MIS team to keep learner data and systems accurate and up to date daily.

Essentia Criteria Experience
  • Previous experience in an admin/office role.
  • Experience with MI systems (desirable).
Knowledge & Skills
  • Good level of Maths & English.
  • Strong work ethic and committed attitude.
  • Able to work at a fast pace with or without direct supervision.
  • Proficient IT skills: word processing, Excel spreadsheets and presentations.
  • Strong organisational and time‑management skills.
  • Excellent verbal and written communication skills.
