Our client, a highly respected national law firm, is seeking a proactive and organised Facilities Assistant to join their Leeds office initially on a 12 month fixed‑term basis. This is an excellent opportunity for someone with strong organisational skills and a "can‑do" attitude to support the day‑to‑day running of a professional services environment.
The RoleThe Facilities Assistant will play a key role in ensuring the office runs smoothly by maintaining a safe, clean, and well‑presented workspace. You will provide essential operational and administrative support to internal teams, fee‑earners, and support staff.
Key responsibilities include:
- Managing all incoming and outgoing mail, including sorting, distribution, and preparing items for dispatch
- Scanning incoming post and forwarding to relevant colleagues
- Supporting printing tasks and coordinating document dispatch
- Responding to daily facilities queries and reporting issues
- Assisting with meeting room set‑ups and preparing the office for new starters
- Supporting basic maintenance tasks, including moving furniture and equipment
- Providing occasional reception cover (greeting visitors, handling calls, notifying staff)
- Conducting basic health & safety checks and escalating hazards
- Coordinating contractors and deliveries
- Managing office supplies (stationery, kitchen items, etc.)
- Ensuring the office remains clean, safe, and well organised
- Providing ad‑hoc administrative support across departments as needed
- Minimum 5 GCSEs (or equivalent) at grade C or above, including Maths and English
- 6+ months experience in a similar facilities/office support role
- Confident using Microsoft Outlook and Teams
- Strong communication skills (written, verbal and face‑to‑face)
- High attention to detail and accuracy in administrative tasks
- Ability to prioritise workload effectively
- Reliable, proactive, enthusiastic team player
- Experience working within a legal or professional services environment
- Skills in Microsoft Word, Excel, Top Desk or similar systems
