Position: Administrative Officer (XN03)

The Admin Officer will provide a high-quality service in line with Trust standards and be able to communicate sensitivity and effectively with a widerange of people including medical staff, patients and colleagues. Support the Patient Services Co-ordinator in delivering the services for the speciality.

To undertake a range of clerical and administrative duties which will includereceiving and checking documentation, reports and patient information,processing appropriately within departmental guidelines, entering information onto the appropriate IT system and retrieving information as and when required.

Main duties of the job

Thepost holder will work within the department/team to which they are assigned,working within standard operating procedures, policies and agreed local procedures relevant to that Department. The role may be patient facing ornon-patient facing.

Thepostholder may be the first point of contact for patients and other visitorsto the Department.

responsibilities

The Endocrinology team have an excellent opportunity for an enthusiastic andhighly motivated individual to join their administration support team. Theprime responsibility of the post holder will be to provide a professional service supporting the clinical teams to provide the best possible care forour patients. Duties include general administrative tasks, booking andrearranging appointments, helping with telephone or email queries and dealing with patient requests.

This role will include reception/clinic coverdependent on demand. The post holder will be working closely with medical,nursing and other administrative staff.

Applicants should be able to communicate effectively with a wide range of people including hospital staff and the general public. In addition, the successful applicant should demonstrate excellent organisational skills, be able to workas part of a team and able to manage their own workload.

Dealing with surgical appointment bookings through patient tracking lists, telephone calls and queries.

Dealing with enquiries from hospital staff, outside agencies and patients.

Workas part of a team to ensure that all phone calls are answered within the department during core office hours.

General clerical duties which include filing, photocopying and faxing. Thedepartmental email account, issuing letters, and appointment bookings and queries.

Toprovide cover for other team clerical staff when on annual leave or sickleave.

Person Specification Qualifications
  • Education to GCSE grade C standard or equivalent in Maths and English.

Experience
  • Must be competent with using Patient Centre (PAS) for booking clinic appointments
