Overview

The Venue Sales & Operations Coordinator is a client-facing role responsible for lead management, booking support, conducting tours when sales representative can’t, and day-to-day operational coordination. This role ensures exceptional guest experience from first inquiry through event execution while supporting the overall organization and efficiency of the venue. This position is ideal for someone who is highly organized, sales-minded, and passionate about weddings and events.

Responsibilities

Sales & Client Experience
  • Respond to inbound inquiries (email, phone, website, social platforms) within 24 hours
  • Qualify leads and schedule venue tours
  • Assist with venue tours and pricing, policies, and packages
  • Prepare and send contracts, invoices, and payment schedules
  • Follow up with prospective clients to close bookings
  • Maintain accurate client records in Honey Book CRM
  • Assist with upsells (addons, weekday discounts, seasonal promotions)
Operations & Administrative Support
  • Maintain event calendar and booking documentation
  • Coordinate with preferred vendors and maintain vendor lists
  • Assist with event timelines, floor plans, and logistics
  • Support venue manager with operational checklists and prep
  • Ensure policies and procedures are communicated clearly to clients
  • Assist with inventory tracking (tables, chairs, décor, supplies)
  • Work closely with accounting department on collection of payments and tracking of outstanding invoices
Event Support (Limited / As Needed)
  • Onsite presence for select events to support setup, vendor arrival, or client questions
  • Assist with walkthroughs and final meetings
  • Serve as a professional point of contact during events when needed
  • Attend weekend wedding trade shows, expos, and other events to promote the venues
Qualifications
  • 13 years of experience in sales, hospitality, weddings, events, or customer service
  • Strong written and verbal communication skills
  • Organized, detail-oriented, and proactive
  • Ability to multitask and work independently
  • Techsavvy (CRM systems, Google Workspace, scheduling software)
  • Availability for some evenings and weekends
  • Reliable transportation
Preferred (Not Required)
  • Wedding or event venue experience
  • Experience with Honey Book, Venue Booking, or similar systems
  • Social media or marketing support experience
  • Local Middle Tennessee vendor relationships
Schedule
  • Flexible weekday hours
  • Some evenings/weekends for tours and events
  • Heavier workload during peak wedding season
