Position: SPED Clerical Support Specialist 2025/26 SY

Purpose

Purpose: This role helps ensure compliance with state and federal requirements of the Individuals with Disabilities Act (IDEA) and Section 504 of the Rehabilitation Act, assists and supports staff/administration to carry out procedures and clerical tasks necessary to process special education and Section 504 information, records, meetings, and materials.

FLSA Status

FLSA Status: Non-Exempt, Hourly ($19.00-$33.56 per hour, 7.5-hour workday)

Required Qualifications
  • High school diploma or equivalent
  • Computer/typing and filing skills
  • Microsoft Office software experience
  • Effective oral and written communication skills with the ability to communicate respectfully and compassionately
  • Ability to document in accordance with professional standards and state and local guidelines
  • A high level of professionalism and decorum
  • Strong organizational skills and detail-oriented
  • Possession of a valid Kansas driver’s license
  • Health and Inoculation Certificate on file in the District Office (after an employment offer is made)
Preferred Qualifications
  • Previous secretarial experience within an educational setting
  • Associate's degree from an accredited college
Essential Functions

To perform this job successfully, an individual must be able to perform each essential function satisfactorily:

  • Coordinate scheduling of IEP and 504 meetings, draft meeting notices, send home meeting notices within the compliance deadline, draft meeting agendas, take meeting notes, and assist in preparing to hold a meeting
  • Obtain final participants’ signatures on all required IEP and 504 paperwork
  • Coordinate with other districts and outside agencies to gain student records
  • Request, manage, and maintain special education transportation records
  • Ensure orderly flow of required IEP and 504 paperwork within the district and to the state department of education
  • Monitor and adhere to expiration dates and re-evaluation dates for students on IEPs and Section 504 plans
  • Assure special education paperwork complies with State and district compliance guidelines
  • Regular routine attendance at work
General Responsibilities
  • Establish and maintain effective verbal and written communication and working relationships with students, educational staff, parents, patrons, and administrators
  • Notifies all IEP and 504 meeting attendees utilizing the district’s electronic calendar
  • Adheres to all federal, state, and district policies and compliance practices and procedures
  • Demonstrate a commitment to teamwork
  • Maintains a high level of confidentiality
  • Contributes to a safe and orderly work environment
  • Works to develop constructive, collaborative work environments through building positive school/community relations
  • React well under pressure, handle and balance multiple demands at one time, work with frequent interruptions, and perform duties and tasks at expected levels of professionalism
  • Perform responsibilities in full compliance with all district, state, and federal laws, methods, requirements, policies, procedures, and activities pertinent to the duties of this position
  • React to change productively and handle other tasks as assigned
  • Work independently with minimum supervision
  • Use independent judgment and demonstrate initiative to act without being asked
  • Learn and upgrade job skills to meet the changing demands of the position
  • Strong computer and keyboarding skills
  • Other duties as assigned by the Principal or other Administrative Staff

  • Ability to sit and stand for extended periods of time
  • Ability to enter data into a computer, to see and read a computer screen and printed material with or without vision aids

  • Ability to speak in audible tones so that others may understand clearly in normal classrooms, outdoors, and on the telephone
  • Physical agility to lift up to 25 pounds to shoulder height and 50 pounds to waist height
  • Ability to bend, stoop, sit on the floor, climb stairs, walk and reach overhead
Terms of Employment

At-will employment. The Board will determine salary and work schedule.
