Job Summary

The Event Assistant supports the Community Engagement Manager in planning, executing, and delivering high-quality brand events that drive awareness, engagement, and sales for Beehive Meals. This role plays a hands-on part in all phases of events-from early planning and logistics to on-site execution and post-event wrap-up.

The ideal candidate is highly organized, dependable, and energetic, with a strong eye for detail and a passion for creating memorable guest experiences. This role requires someone who is comfortable working both behind the scenes and on the event floor, supporting setup, décor, food sampling, and customer interaction. Flexibility, problem-solving skills, and a team-first mindset are essential.

Responsibilities
  • Work closely with the Community Engagement Manager during initial planning stages to align on event goals, requirements, timelines, and creative direction.
  • Assist with scheduling, timelines, logistics, and coordination for multiple events.
  • Oversee event décor, setup, layout, and aesthetic details to ensure brand standards are met.
  • Set up, tear down, organize, load, and unload event booths, props, signage, and supplies.
  • Cook and serve product samples in compliance with food safety standards.
  • Support on-site event execution, ensuring smooth operations, vendor coordination, and positive guest experiences.
  • Work the event floor to engage attendees, serve samples, and assist with product sales.
  • Travel as needed for event setup, execution, and follow-up.
  • Maintain organized documentation including checklists, schedules, inventory tracking, and post-event recaps.
  • Provide general support to the Community Engagement Manager and assist the Marketing team with additional needs as requested.
Qualifications
  • Proven experience in event coordination, planning, or event production.
  • Strong organizational and scheduling skills with excellent attention to detail.
  • Ability to work independently after receiving planning direction.
  • Strong communication skills; confident, professional, and presentable in customer-facing environments.
  • Creative eye for décor, layouts, and event design.
  • Ability to multitask and manage several events or deadlines simultaneously.
  • Problem-solving mindset with the ability to stay calm under pressure.
  • Comfortable traveling as needed for events, including working some weekends.
  • Ability to lift up to 50 lbs.
  • Food Handler's Permit required (or ability to obtain upon hiring).
  • Bachelor's degree in Marketing, Events, Business, or a related field preferred (or equivalent experience).
Bonus Skills (Not Required but a Plus)
  • Experience working brand activations, sampling events, or trade shows.
  • Sales or customer engagement experience in a live event environment.
  • Familiarity with inventory tracking, event budgets, or vendor coordination.
  • Interest in food, community engagement, and brand-driven experiences.
