Job Description

The Body Shop Receptionist is the first point of contact for customers and insurance partners. This role is responsible for creating a professional, welcoming experience while supporting daily front‑office operations, scheduling, and administrative coordination within a fast‑paced collision repair facility.

Key Responsibilities
  • Customer Service & Front Desk
  • Greet customers promptly and professionally (in‑person and by phone).
  • Schedule repair appointments and estimate consultations.
  • Check customers in and out for vehicle drop‑off and pick‑up.
  • Collect required documentation (insurance info, deductible payments, signatures).
  • Explain basic repair process timelines and next steps.
  • Maintain a clean, organized front office and waiting area.
Administrative Support
  • Answer and route incoming phone calls.
  • Respond to e‑mails and online inquiries.
  • Assist with data entry into management systems (e.g., CCC ONE or similar estimating software).
  • Scan and upload documents, photos, and insurance paperwork.
  • Process payments and issue receipts.
  • Maintain filing systems (digital and physical).
Insurance

Skills & Qualifications
  • Strong communication and customer service skills.
  • Professional appearance and demeanor.
  • Ability to multitask in a fast‑paced environment.
  • Basic computer proficiency (Microsoft Office, email, shop management systems).
  • Organized and detail‑oriented.
  • Cash handling experience preferred.
  • Previous automotive or collision repair experience is a plus.
Work Environment
  • Fast‑paced collision repair facility.
  • Frequent interaction with customers, insurance representatives, and technicians.
  • Extended periods sitting, phone use, and computer work.
Performance Expectations
  • Provide exceptional customer service.
  • Maintain accurate documentation.
